Attaching Documents

Add files to your Conversation in a couple of easy steps. If the Conversation is associated to a project, the attachments are added directly to the project folder. If the Conversation is associated to an Issue inside a project, the attachments are added directly to the Issue folder inside the project folder.

  1. To attach documents to the Conversation, please click on the ‘staple’ icon next to the text editor.


     
  2. There are 2 sources to attach files from. You can select ‘Storage’ or ‘Upload’ to upload from your PC.

Upload from your PC

  1. If you want to upload a file from your PC, please select ‘Upload’ on the top of the window.


     
  2. Drag a single file or multiple files from your PC and drop them on the 'cloud'. Simple as that.
  3. Or click on the ‘Select files from your system’ button.
  4. When a file is uploaded, a link appears in the chat window, so other members of the Conversation can access it.

When a file is uploaded to a private chat or a group conversation, it will be stored as a hidden file in your 'My Documents' folder on Storage, and it will increase the amount of the used Storage space. When you point the mouse on the link in the chat window, you get a tooltip that says ‘This file is private. Path is hidden’. That is because other users cannot see the path to your attachment in your ‘My documents’ folder. Other users do not have permission to access your 'My Documents' folder. That folder is reserved for your private files.

When a file is uploaded to a Topic that is associated to a project, the file will be stored in the project folder on the Storage.

When a file is uploaded to a Conversation associated to an Issue of a project, the file will be stored in the Issue folder inside of the project folder on the Storage.

Attach from Storage

If you choose to attach files from the Storage, there are two options: You can add files from your private documents or files from the projects.

Attach from 'My documents'

  1. Click on the ‘My documents’ folder.
  2. Double click on the chosen file to attach it to the Conversation. Or select the file and click on the ’Insert’ button.


     
  3. The link to your file appears in the chat window, so other members of the Conversation can download it.
  4. When the receiving user points the mouse on the link, the tooltip shows that ‘This file is private. Path is hidden.’ That is because users cannot see the path to other users' ‘My documents’ folder, and users do not have access to other users' private files.


     
  5. To the sender user the ‘Reveal in storage’ (cloud icon) and the 'Open with Desktop Application' action are available next to the link to the attachment. The sender user can jump to the location of the file in your ‘My documents’ folder by clicking on the ‘cloud’ icon.

Attach from 'Projects'

  1. If you choose to attach project files to the Conversation, click on the ’Projects’ folder.
     
  2. Double-click on your project folder you want to attach files from.
     
  3. Select the file you want to attach and click ’Insert’.


     
  4. The link to the file appears in the chat window, so others can download it.
     
  5. When you point the mouse on the link, you get a tooltip about the full path to the file in the Storage. It is important for Team Collaboration, that both the sender and receiver users can access and see the path to the attached file.


     
  6. There is the ‘Reveal in storage’ (cloud icon) action available next to the link to the attachment. The 'Reveal in storage' action on attached project files is available for all users in the Conversation to make team collaboration easier. By clicking on the 'cloud' icon, the user gets to the Storage location of the file.

     
  7. There is the “Attachment list” button available in the right up corner within one-to-one conversation, group conversations, topics and meetings. It allows users to search attachments sent within chats. It lists all attachments added from the beginning of the chat.

It could happen that an attached file from the Storage is deleted from its original place (on Storage). In that case a ‘File is deleted!’ status will appear in the Conversation instead of the attachment.

Main difference between attachments from ‘My documents’ and from ‘Projects’ folder

The receiver users can only see the path to the attached file if the file is from 'Projects'. Files from the 'My Documents' OR private project folders cannot be revealed in Storage to receiver users. The access to project files is shared between the users to help team collaboration.
