Save a QMS Conversation

When you save a Conversation, a Meeting Issue is created. Click here to learn more about How to save Conversations.

  1. Please go to the Conversation (Topic or Meeting) you want to save, and click on the 'Save' button.

  2. In the 'Meeting details' window, type in the subject (e.g. 'QMS Meeting') of the Conversation and select the project you want to associate with the Conversation. Optionally, select the Issue you want to associate with the Conversation. To select an Issue, click on ‘Load Issues’ and pick one.

  3. In the ‘Reports’ window, select the departments you want to generate a report for. Routine is selected by default. If any other department is selected, the Routine will be unchecked automatically.

Saving a QMS related Meeting

If the Conversation was about a QMS related discussion, the Host user can save the Conversation as a QMS related Meeting.

  1. In the Reports window, check 'QMS'.

  2. Click "Next" and fill up Meeting Minutes. Then click "Save".

  3. "Follow up meeting?" window will pop up.

    You have 2 options:
     
    1. Click Schedule meeting
      "Schedule follow up meeting" window will pop up. Fill up the form and click "Create". The scheduled meeting will be created in the Project module.

      These issues are created:

      As you can see, a Meeting type Issue "QMS Meeting" is created in the project in the QMS module, and also in the parallel project in the Project module. A QMS Event type Issue is created automatically, in the QMS module. 

      In the Project module, "Schedule meeting - follow up" is created, too. 

      On the Issue details page of 'QMS Meeting', we can see that the Meeting is in 'Closed' Status after it has been saved, and it is a QMS Issue (‘QMS Yes’).


      'QMS Meeting' has a QMS Event type Related Issue, named 'QMS related meeting held' that is assigned to the QMS Manager user.
      The Assignee of 'QMS related meeting held' gets an email about that QMS Event, with the details of the QMS Event.
       
    2. Choose "No just continue" button.
      All issues will be created like when you choose to schedule a meeting, except the "Schedule meeting - follow up" in the Project Module.

Saving a DHF (Design History File) related Meeting

  1. In the Reports window, check 'DHF'. 'QMS' is checked automatically with 'DHF'.

  2. Click "Next" and fill up Meeting Minutes. Then click "Save".

  3. "Follow up meeting?" window will pop up.

    You have 2 options, too:
     
    1. Click Schedule meeting
    2. No just continue
       
  4. ​If you choose to "Schedule meeting", you have to fill-up the form and click "Create". The scheduled meeting will be created in the Project module as the Issue - meeting type.

    In this example, "DHF scheduled meeting" is created because we clicked "Schedule meeting".

     
  5. When the Conversation has been saved, a Meeting type Issue (in our example 'QMS Meeting - DHF example'), a QMS Event Type Issue "QMS related meeting held", and a Task type Issue "A DHF related meeting was held" is created. The Issues are displayed in ‘QMS Issues’ inside the QMS module, and also in parallel in 'Issues' inside the Project module.

  6. On the details page of 'DHF related Meeting', you can see that the Meeting is in 'Closed' Status after it has been saved, and it is a QMS Issue (‘QMS Yes’).

  7. In 'Related Issues' section of the Meeting, there is 'A DHF related meeting was held' task assigned to the Project Lead user.
    The Project Lead should review the Meeting Minutes of the parent Meeting Issue and take appropriate action.

  8. 'DHF related Meeting' has a QMS Event type Related Issue, named 'QMS related meeting held' that is assigned to the QMS Manager.

  9. The Assignee of 'QMS related meeting held' gets an email about the QMS Event and the Task, with the details of the Issue inside.

 

Saving an IP (Intellectual Property)​ related Meeting

  1. In the Reports window, check 'IP'. 'QMS' is checked automatically with 'IP'.

    As with selecting other departments, you will be given the option to choose whether to schedule a meeting or not.
     
  2. When the Conversation has been saved, a Meeting Type Issue (in our example 'IP related Meeting'), a QMS Event type Issue, and a Task type Issue is created. The Issues are displayed in ‘QMS Issues’ inside the QMS module, and also in parallel in 'Issues' inside the Project module.

  3. On the details page of 'IP related Meeting', you can see that the Meeting is in 'Closed' Status after it has been saved, and it is a QMS Issue (‘QMS Yes’).



    In 'Related Issues' section of the Meeting, there is 'An IP related meeting was held' task assigned to the CEO.
    The CEO should review the Meeting Minutes of the parent Meeting Issue and take appropriate action.


     
  4. The Meeting has a QMS Event type Related Issue, named 'QMS related meeting held' which is assigned to the QMS Manager.


     
  5. The Assignee of 'QMS related meeting held' gets an email about that QMS Event, with the details of the QMS Event.

 

Saving a Risk related Meeting

  1. In the Reports window, check 'Risk'. 'QMS' is checked automatically with 'Risk'.

  2. When the Conversation has been saved, a Meeting type Issue (in our example 'Administration related Meeting'), a QMS Event type Issue, and a Task type Issue is created. The Issues are displayed in ‘QMS Issues’ inside the QMS module, and also in parallel in 'Issues' inside the Project module.

  3. On the Meeting Issue details page, we can see that the Meeting type Issue is in Closed Status after it was saved, and it is now a QMS Issue (‘QMS Yes’).



    In 'Related Issues' section of the Meeting, there is 'A RISK related meeting was held' task assigned to the Risk Manager.
    The Risk Manager should review the Meeting Minutes of the parent Meeting Issue and take appropriate action.


     
  4. The Meeting has a QMS Event type Related Issue, named 'QMS related issue was held' which is assigned to the Project Manager (or to the Administrator if no Project Manager in the company).


     
  5. The Assignee gets an email about the QMS Event and the Task, with the details of those Issues inside.
     

Saving an Administration related Meeting

  1. In the 'Reports and additional tasks', check 'Administration'. 'QMS' is checked automatically with 'Administration'.



    As with selecting other departments, you will be given the option to choose whether to schedule a meeting or not.
     
  2. When the Conversation has been saved, a Meeting type Issue (in our example 'Administration related Meeting'), a QMS Event type Issue, and a Task type Issue is created. The Issues are displayed in ‘QMS Issues’ inside the QMS module, and also in parallel in 'Issues' inside the Project module.


     
  3. On the Meeting Issue details page, we can see that the Meeting type Issue is in Closed Status after it was saved, and it is now a QMS Issue (‘QMS Yes’).



    We can also see, that the Task type sub-task, named 'An Administration related meeting was held' is assigned to the Office Manager.
    The Office Manager should review the meeting minutes of the parent Meeting Issue and take appropriate action.


     
  4. The Meeting has a QMS Event type Related Issue, named 'QMS related meeting held' which is assigned to the QMS Manager.


     
  5. The Assignee gets an email about the QMS Event and the Task, with the details of the Issue inside.
